Imagine what would happen if one of your former patient files a lawsuit against your practice or hospital? What if he claims that his medical records have disappeared from your medical center? He states that documents relating to his medical registration and all information about the treatments that he has undergone are missing? Well, what would you do in such a situation? The entire hospital would be ordered to locate the missing file. Your administrative personnel will spend sleepless nights till they find that particular file. You not only loose a number of productive hours looking for the file, but the stress levels that hit you would be unimaginable. Could you have avoided this unpleasant situation? Medical record management is defined as "the planning, controlling, directing, organizing, training, promoting, and other managerial activities related to the creation, maintenance and use, and disposition of medical records to achieve adequate and proper documentation of a health care organization's policies and transactions". To be able to do all this effectively it is important that the personnel in these hospitals or health care centers are well trained and able to develop and maintain management systems that are fully integrated. Care has to be taken to safeguard patient information and this is one of the main responsibilities of these medical organizations.

Creating systems that are able to store health care information and ensuring that the data is effectively protected is a challenge that many administrators and IT professionals face today. The challenge faced by them is to create a system that not only stores data, but allows easy retrieval of data as well. These records should include comprehensive details such as the past medical history of the patient, his/her age, source of income, details of any previous surgeries, and such.

Ensuring patient privacy should be the main concern of any health care organization. A number of medical and support staff need to access these records. Effective access control should be applied to these medical management record systems to ensure patient privacy and confidentiality. This has to be done without compromising the effectiveness and efficiency of medial care that is provided to the patients.
