Easy Outline for Planning Your Company Christmas Party

This article is the second installment in our two-part series on throwing a dazzling company party.

Now that all of the creative work is done, we are getting down to the nitty-gritty. Keep in mind that this outline is a general guideline—you may find yourself scheduling food earlier and entertainment later, it all depends! If you stick to a simple schedule like this, however, you’ll find that you only need to spend about an hour or less for each milestone to get your party put together.

Milestone 1: Two months ahead of time
> Outline and finalize a budget
> Reserve hotel or conference hall
> Reserve entertainment or band

Milestone 2: One month ahead of time
> Purchase decorations or schedule decorator
> Schedule catering
> Confirm again with hotel or conference hall
> Confirm again with entertainment or band
> Send out invitations (paper or email)

Milestone 3: Two weeks ahead of time
> Confirm again with catering
> Confirm again with decorator, or decide which employee to enlist for help decorating
> Send out reminder invitation (email)

Milestone 4: One week ahead of time
> Remind enlisted employees about decorating
> Purchase door prizes (gift cards or other small items)
> Purchase nicer gifts for employee awards

Delegation is another tool in your arsenal—if you have even one other party planner, you can easily split the responsibilities between food/location, prizes/decorating, and invitations/entertainment. That way neither one of you is handling the entire load, and plan execution will be a snap with two doing the footwork.
